# Agency finance: how much you actually earn on each client

An ad account shows what the client spends. This section shows your revenue, your costs and your profit on each client: what they pay, what it costs to run them, who has not paid and who is leaving. The figures come from contracts, invoices and logged time rather than from a feeling.

## What gets counted

- **Revenue**: Contracts and invoices by client, recurring and one-off
- **Cost**: Team work, contractors, the cost of processing data
- **Profit**: Per client and for the agency as a whole
- **Debts**: Who has not paid, how overdue it is, a link to the invoice
- **Cohorts**: Who stays with you and who leaves, by month of joining
- **Contractors**: Payouts to freelancers and outside suppliers

The cost of processing data is a cost line of its own, visible by client and by module, with monthly caps per organisation.

## What the section does

### Profit per client, not one number for everything

A client with a large budget can bring in less than a small one if three people run it by hand. The section sets the revenue from a client against what it costs to run them, and shows who really feeds the agency.

### Who has not paid and by how much

Invoices, due dates and arrears in one place, with links to the payment. This is the dull part of the work that gets put off until the cash gap is visible.

### Cohorts: who stays and who leaves

Clients are grouped by the month they joined, and you can see how many of each group are still there after three, six and twelve months. That answers whether the agency is growing or replacing the ones who left.

### Contractors and the team

Payouts to freelancers and outside suppliers are counted as part of the cost of a client rather than as general agency spend. Team load is shown separately: who is overloaded and who is free.

## How the section fills up

Most of the data is already in the system: contracts, invoices, tasks and processing cost. The rest is entered once.

1. **Enter the contracts** - Amount, frequency and terms for each client.
2. **Issue the invoices** - From the system, with payment and arrears tracked.
3. **Log the work** - Tasks and team load, payouts to contractors.
4. **Read the profit** - By client, by cohort and for the agency as a whole.

## What the section does not do

- It does not replace your accounting or file your returns - this is management reporting for decisions.
- It does not count profit without cost data: with no work logged you get revenue, not profit.
- It does not add amounts in different currencies without a rate for the day.
- It does not show agency finance to a client: only their own figures go into the portal.

## Questions and answers

### How is this different from a report on ad spend?

Ad spend is the client money. Here it is your money that gets counted: contract revenue, the cost of running the client, and the profit on each of them.

### Where does the cost figure come from?

From logged team work, contractor payouts and the cost of processing data for that client. The last of those is shown as a separate line by client and by module.

### Does the client see these figures?

No. The client portal carries only their own numbers: spend, results, reports and invoices. Agency finance stays inside the organisation and behind access rights.

### What do the cohorts show?

How many of the clients who joined in one month are still there after three, six and twelve months, and what each brings in over the whole relationship. That tells growth apart from replacing the ones who left.
